Vaelor ("we", "us") builds and maintains web applications for clients. This policy explains what information this website and our client portal collect, why, and what you can ask us to do with it.

What we collect

• Quote requests: your name, email address, project type, the plan you're interested in and your message. We also record your IP address to stop spam and repeated submissions.
• Client portal accounts: company name, contact name, email address, phone number (if provided), the date of your last sign-in, and the projects, support tickets, time records and invoices linked to your account. Passwords are stored only as secure one-way hashes.
• Payments: card payments are processed by Stripe. Your card details go directly to Stripe and never reach our servers. We keep a record of the amount, date and payment reference for each invoice.
• Security logs: failed sign-in attempts (email address and IP address) are recorded for a short time to block password-guessing.

How we use it

We use this information to reply to enquiries, provide and bill for our services, give you access to your client portal, send service emails (such as new invoices, ticket replies and password links) and keep our systems secure. We do not sell your information or use it for advertising.

Cookies

We use a single session cookie that keeps you signed in and protects our forms against forgery. It is deleted when you close your browser. We don't use analytics, advertising or tracking cookies.

Services we rely on

• Hosting: our website, portal and database are hosted by our hosting provider, which stores the data on our behalf.
• Stripe: processes card payments under its own privacy policy.
• Google Fonts: our pages load fonts from Google, which receives your IP address when it serves them.

How long we keep it

We keep quote requests for as long as they are useful for following up, and client account, project and billing records for as long as we work together and for as long afterwards as accounting and tax rules require.

Your choices

You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it where we're not required to keep it by emailing quotes@vaelorweb.site. Clients can also update their details from the Account page of the client portal.

Changes

If we change how we handle your information, we'll update this page and the date at the top.
